🎯Case Note Catcher · macOS

Catch the billable work you'd forget.

An app that sits on your Mac and catches your billable work for you. It notices when you've spent real time on a participant - a call, a provider email, a CareView tab - and offers to log it, so those minutes stop slipping through. You confirm; SRTD writes the compliant note.

Free with Case Note Writer · macOS 13+ (signed & notarised) or Windows 10/11 (beta) · start a free trial

The Catcher is free to download and included with Case Note Writer ($25/month). You'll sign in with your SRTD account the first time you open it - so start a 14-day free trial if you don't have one yet. No credit card required to trial.

How it works

Catch the work. Write the note. Bill the hour.

  1. 1

    It notices the work

The menu-bar app watches window titles only - an Outlook email, a CareView tab, a Messages chat - and matches them to your participant list. No screenshots, no keystrokes; nothing leaves your Mac except what you confirm.

  2. 2

    You confirm in seconds

A floating widget taps you on the shoulder: pick the participant, jot a line, set the duration yourself. It never estimates time and never invents activity.

  3. 3

    SRTD writes it up

Your confirmation is parked safely in your SRTD account and written up as an NDIS Practice Standards-aligned note - ready to review whenever you next log on.

Setting up

  1. Open the downloaded file. A window appears with SRTD Case Note Catcher and your Applications folder - drag the app onto Applications, then open it from Applications (or Launchpad).
  2. The first time you open it, macOS may ask whether you're sure - because it was downloaded from the internet - with an Openbutton. Click Open. The app is signed and notarised with Apple, so there's no security warning to work around.
  3. Grant Accessibility permission when asked (System Settings, Privacy & Security, Accessibility). This is how the app reads window titles - it takes no screenshots and logs no keystrokes, and nothing leaves your Mac except the entries you confirm.
  4. Sign in with your SRTD email and password. If you normally sign in with Google, set a password first using Forgot password. Don't have an account? Start a free trial.
  5. In the menu-bar icon's menu, click “Start at login” so it's always there.

Windows 10 & 11

Beta

Case Note Catcher for Windows

Same app, same sign-in, same capture flow - a Windows system-tray version. It's in beta: fully working, but not yet signed with a certificate, so Windows SmartScreen shows a one-time warning the first time you run it. We're working on signing to remove that step.

  1. Unzip the download and move SRTD Case Note Catcher.exe somewhere permanent (e.g. your Documents folder), then run it.
  2. If Windows shows a blue “Windows protected your PC” screen, click More info, then Run anyway. This is the standard prompt for a new app that isn't code-signed yet - not a virus warning.
  3. The app appears in your system tray (bottom-right, near the clock). Sign in with your SRTD email and password, and use “Start at login” from its menu so it's always there.
