Terms of Service
Last updated: April 2026
1. Who we are
SRTD Tools (srtd.tools) is a business based in Sydney, Australia ("SRTD", "we", "us"). These Terms of Service ("Terms") govern your access to and use of the SRTD Tools software-as-a-service product.
By creating an account or using the service, you agree to these Terms. If you don't agree, don't use the service.
What SRTD is and isn't.SRTD Tools provides AI-powered productivity software for NDIS workers. SRTD is not an NDIS-registered provider, does not deliver NDIS supports, does not advocate before the NDIA or the NDIS Quality and Safeguards Commission, and does not provide legal, clinical, or financial advice. SRTD's outputs are drafts intended for review and verification by qualified workers; the worker remains responsible for any decision made using SRTD's output.
2. The service
SRTD Tools is a suite of AI-powered documentation and productivity tools for NDIS workers. It helps you draft case notes, communications, and related documents. Finished outputs are yours to copy into your own practice management system.
SRTD is not a practice management system, medical-records system, or legal advisor. You remain responsible for reviewing and approving every note before you submit it to any system, client, employer, or regulator.
3. Your account
You must be at least 18 years old and legally able to enter into a contract to create an account. You're responsible for keeping your login credentials secure and for all activity that occurs under your account.
One account per person. Your SRTD account is for your personal professional use only. You agree not to share your email, password, or any other login credentials with anyone else, and not to let anyone else sign in as you. Each user in your team or organisation needs their own account. Sharing logins undermines audit trails, privacy guarantees, and the integrity of your professional documentation.
To help keep accounts from being shared casually, SRTD limits each account to 3 concurrent signed-in devices and will sign out the least-recently-used device when a 4th signs in. If we identify patterns consistent with shared use (for example, many distinct devices or locations on the same account in a short time), we may contact you to discuss, and in persistent cases suspend the account.
You also agree not to use the service to violate any law, scrape or reverse-engineer the service, or attempt to access other users' data.
4. Subscription, billing, and cancellation
SRTD offers a 14-day free trial that doesn't require a credit card. If you add a payment method, your first paid monthly subscription begins at the end of the trial period or immediately if the trial has already ended.
Pricing (Australian dollars, exclusive of taxes where applicable): the Case Notes + Comms bundle is AU$25 per month. Budget Tool, Document Analysis and Report Writer are AU$20 per month each. Plan Review is AU$20 per participant, billed as a one-off credit. Prices are billed monthly for the subscription products.
You can add or remove subscription products at any time from your billing page. Changes are prorated against the current billing period.
Grandfathered pricing. Subscribers from before the May 2026 pricing change remain on the previous graduated pricing (AU$10 first tool, AU$5 each additional) until they choose to switch.
Monthly usage allowances. Each tool includes a generous monthly usage allowance:
- Case Note Writer: 200 notes per billing period.
- Comms Tool: 150 drafts per billing period.
- Voice transcription (shared across tools): 300 minutes per billing period.
If you reach an allowance, you'll see an in-app prompt offering a one-off top-up bundle: 50 extra case notes for AU$5, 50 extra drafts for AU$5, or 60 extra voice minutes for AU$3. Top-ups are priced close to the underlying AI processing cost - SRTD doesn't mark them up.
Top-ups are live immediately after purchase and last until the end of your current billing period. Unused top-up credits do not carry over to the next period. Allowances and top-ups reset on the anniversary of your subscription each month, in lockstep with your Stripe billing cycle.
You can cancel your subscription at any time from your billing page. When you cancel, you keep access through the end of the current billing period. No further charges are made after cancellation.
30-day money-back guarantee. Within 30 days of your first paid subscription charge, you can email support@srtd.tools and we will refund that charge in full - no questions about why, no friction. The guarantee covers subscription charges only (Bundle, Budget Tool, Document Analysis, Report Writer). Plan Review credits and one-off top-ups are consumed per use and are not refundable.
Outside the 30-day window, we don't provide refunds for already-elapsed billing periods, Plan Review credits, or consumed top-up credits.
Billing is handled by Stripe. Payment data is stored by Stripe, not by SRTD.
5. Your content
You retain full ownership of the content you generate through the service ("Your Content"). SRTD does not claim any ownership or licence to use Your Content for any purpose other than operating the service for you.
We do not use Your Content to train AI models. We do not sell, trade, or disclose Your Content to third parties except the service providers necessary to operate the service (see our Privacy Policy).
You are responsible for the accuracy of Your Content and for complying with NDIS, employer, and regulatory requirements when using it.
6. AI outputs - drafts only, your responsibility to verify
Every output produced by SRTD - case notes, communications, budget analyses, document extractions, plan review pack content, robustness scoring, and any other AI-generated content - is a draft. SRTD's prompts and guardrails are designed to produce documentation aligned with NDIS Practice Standards, but AI models can and do make mistakes: hallucinated detail, outdated references, missed context, misread tone, or output that doesn't suit your specific situation.
You agree that, before relying on any SRTD output - whether you copy it into a practice management system, send it, submit it to the NDIS, share it with a participant or family, or act on it in any other way - you will:
- Review it in full against the source material, your own knowledge of the participant, and your professional judgement.
- Verify any facts, figures, names, dates, or references against authoritative sources (your records, the source document, the NDIS price guide, current legislation, etc.) before relying on them.
- Edit the output where needed so that the final version reflects what actually happened, what you actually want to communicate, or what your professional judgement calls for.
SRTD is a drafting assistant, not a substitute for the worker's judgement, verification, or decision-making. SRTD does not provide legal, clinical, or financial advice, and does not guarantee any audit, plan review, or compliance outcome. To the maximum extent permitted by law, SRTD accepts no responsibility for any AI output that you submit, send, or act on without review and verification.
For more detail on how SRTD's AI works and where its limits sit, see our AI Use & Limitations page. For obligations on how you may use SRTD, see our Acceptable Use Policy.
7. Third-party services
SRTD relies on the following third-party services, each with its own terms: Supabase (database, auth, storage), AWS Bedrock (AI inference), OpenAI (voice transcription), Stripe (billing), Vercel (hosting), Resend (email delivery).
Use of the service is subject to the availability of these providers. SRTD is not responsible for outages or issues caused by upstream providers.
8. Acceptable use
You agree not to use the service to:
- Violate any law or third-party right.
- Upload or generate content that contains unlawful, harmful, harassing, defamatory, or infringing material.
- Attempt to reverse-engineer, scrape, or overload the service.
- Share your login credentials, let someone else sign in as you, or otherwise allow your account to be used by anyone other than you. Your account is for your personal professional use only.
- Resell, sublicense, or otherwise provide the service to others without our written agreement.
- Enter personal health information, NDIS participant numbers, dates of birth, or home addresses into SRTD. The service stores first and last name only.
9. Suspension and termination
We may suspend or terminate your account if you materially breach these Terms, with reasonable notice where practicable. You can terminate your account at any time by cancelling your subscription and emailing support@srtd.tools to request deletion.
10. Warranties
SRTD is provided "as is", to the extent permitted by law. We don't warrant that the service will be uninterrupted, error-free, or produce outputs fit for a particular purpose. Your statutory consumer rights under Australian Consumer Law are not excluded.
11. Limitation of liability
To the extent permitted by law, SRTD's total liability to you in any 12-month period is limited to the amount you have paid to SRTD in that period. SRTD is not liable for indirect, incidental, special, consequential, or punitive damages, including lost profits, lost data, or business interruption.
12. Governing law
These Terms are governed by the laws of New South Wales, Australia. Any disputes are subject to the exclusive jurisdiction of the courts of New South Wales.
13. Changes to these Terms
We may update these Terms from time to time. We'll notify you of material changes by email. Continued use of the service after the changes take effect constitutes acceptance.
